I was handed the store and I'm starting from zero
Follow stages 1 to 8 in order. They add up to one or two days of work; spread them however you like. When you finish the dry run, open the store and move on to stage 9.
Start with stage 1 →You don't need to know anything beforehand. Each stage tells you where to click, what to decide and how to check it's right, with the screen you'll see. At the end, a full dry run before opening and the routine for running it every day.
Follow stages 1 to 8 in order. They add up to one or two days of work; spread them however you like. When you finish the dry run, open the store and move on to stage 9.
Start with stage 1 →The store is already set up. Do stage 1 to get your bearings and go on to stage 9, the everyday routine. Stages 3, 4 and 5 will help when it's your turn to load products, change prices or approve customers.
Go to the daily routine →In this order. The first two answer instantly.
In the panel it's the purple button at the bottom right; in the editor, the “Ask me” bar at the foot. Each knows its side: ask the panel one about orders, customers and products; the editor one about design, texts, payments and taxes. They answer with the path and, if a screen needs opening, leave a button that takes you there. Ask in detail: “how do I set a price list for a customer” works better than “help with prices”.
It doesn't analyse sales (“how much did I sell”), doesn't make changes for you and forgets the conversation on reload.
How the assistant works →One article per screen, with every field explained. It has a search box (⌘K) and many articles include a part that says “what does NOT exist”: read it before hunting for a feature for half an hour.
Open the help center →For what the assistant and the articles couldn't solve. A person on the team answers. Below we tell you what to send so it gets solved in one message.
When and how to write to support →When you're done: You log in on your own, know what each part of the panel is for, and every person on your team has their own user.
◷ It will take you: 20 minutesLog in with your email and password. If you don't remember it, tap Forgot password, or request a magic link: you get a link by email and log in without a password. You can also sign in with your Google, Microsoft or Yahoo account.
The panel has three parts: the menu on the left, the search box above the menu (“Search… ⌘K”) and the black bar at the top, with the notification bell and the EDIT STORE button.
Use the search box as a shortcut. Type “orders”, pick the result and press Enter. It finds screens, categories and also help articles. It's faster than walking the menu.
There are two places for everything. The panel: orders, customers, products, prices, users. The store editor: everything your customer sees (design, texts, taxes, payments, shipping, minimum order). Open the editor with EDIT STORE, look at its three tabs (Style, Content, Screens) and close it without saving.
The editor also has a search box (“Search settings, sections, designs…”). When this guide says “in the editor, search ‘minimum’”, that's where: type the word and it takes you to the setting.
Create one user per person in Configuration → Managers. Tick only the permissions each one needs. For a sales rep who should see only their own customers and orders, tick only SELLER; any other permission shows them the whole section.
There are two assistants, one in each place. In the panel it's the purple button at the bottom right; in the editor it's at the foot of the dark panel (“Don't know how to do something? Ask me”). Each one answers about what's in front of it. Try the panel one with a real question: “where do I approve a new customer?”. If the answer includes a button, tap it: it takes you to that screen.
Whose is the main account?
The owner always has access to everything. It should be the business owner, not an employee who may leave.
Remember the session?
Yes on your phone and your computer. No on the warehouse or counter PC that several people use.
How do I create a user who only sees their own customers and orders?
What's the difference between the panel and the store editor?
When you're done: The store has your tax and contact details, and the basic rules (taxes, minimum order, who can register) are decided before you load a single product.
◷ It will take you: 40 minutesFirst of all, open your store in an incognito window. If you see a “Coming soon” page, it's in Under construction mode: in the editor, search “construction” and turn it off while you do this guide's tests. If you still don't want anyone to see it, turn it back on at the end of the day.
In the panel, Configuration → General: trade name, tax information, address, phones and the three contact emails. They appear in the store, on receipts and at the bottom of every automatic email. The orders email is the important one: every new order and every registration request lands there.
Taxes: in the editor, search “taxes” and open Taxes and prices. Under Sale condition there are three options: Taxes included in the price, Prices without taxes (notice only) or Add taxes to the total. Below goes your country's rate. Whatever you choose is frozen on each order when it's created.
Minimum order: in the editor, search “minimum”. Minimum purchase is the amount needed to finish an order (0 = no minimum). Repurchase minimum is a lower one for customers who already bought, and Days for the repurchase minimum says from when it applies.
Registration: in the editor, search “register” and open Who can register: Open (anyone creates their account), Requires approval (it stays pending until you approve it) or Closed (only you create accounts). For wholesale, choose Requires approval. Under Registration questions add two or three questions that help you approve: line of business, number of stores, how much they buy per month.
Who sees what: in the editor, open Catalog and access. There you decide whether logging in is required to see the catalog, whether visitors see prices, whether stock quantities are hidden and whether products without photos are shown.
Price lists: in the panel, Configuration → Price lists. Create the ones you'll use, for example “Retailer”, “Distributor”, “Chains”. Just the name for now; prices are loaded in stage 4.
Prices with or without tax?
If your customers are registered businesses, “Add taxes to the total”: they see the net price and tax is added at checkout. If you mix small taxpayers and end consumers, “Taxes included in the price”.
What minimum to set?
The same one you already use today by phone or WhatsApp. Your customers already know it.
Prices visible without logging in?
If you don't want competitors seeing your list, turn off “Show prices to visitors”. Prices appear only once the customer logs in.
What's the difference between “Prices without taxes (notice only)” and “Add taxes to the total”?
How do I make only approved customers see prices?
When you're done: All your products are published with code, photo, price, stock and variants, sorted into categories a customer understands without explanation.
◷ It will take you: 2 to 6 hours, depending on catalog sizeA-1023.jpg).Categories first, in Catalog → Categories. Build the tree with two or three levels at most (for example Kitchen → Containers), following how your customer buys. Keep seasonal ones hidden until you activate them.
Load one product by hand to learn the form: Catalog → Products, + Create product button. Under General are the code, name, short description, dimensions, materials, categories and the Visible / New / Featured / Sale switches. Then come the Images, Options, Price lists and Discounts tabs.
If the product comes in sizes, colors or presentations, don't load it several times. In the Options tab each row is a variant, with its own code, price, stock, minimum and pack size. The “2nd variant” column combines them (size and color). + Add option adds a row.
For the rest of the catalog use the importer: Configuration → Tools → Product management in Google Drive. Tap Download template, fill in one row per product in the sheet and paste its URL into Import. Before applying, a verification screen opens with what's added [+], what changes [~] and what's removed [−]. Read it in full before confirming.
Photos go all at once: on the same Tools screen, Import images and videos in bulk, you upload a ZIP. The system matches each photo to its product by the code in the file name. The first image of each product is the one shown in the catalog.
While the import runs, the Task center (right-hand panel) shows progress. When it finishes, go back to Products and tap the refresh button next to the green + to see the changes.
Coming from Tiendanube, WooCommerce, Prestashop or MercadoLibre? At the bottom of Tools there's External importers. After importing, review categories, prices and stock.
By hand or by spreadsheet?
Up to 30 products, by hand. More than that, spreadsheet. You also keep a master file to update prices: export, edit, re-import.
What to write in the description?
What they ask you on WhatsApp today: units per box, dimensions, material, origin. Every detail you put there is one fewer query.
Publish gradually or all at once?
Load everything with Visible off. Turn it on per category once each one has photo, price and stock.
Which template columns are mandatory?
I imported products and don't see them in the list. What do I do?
How do I load a product that comes in three sizes and two colors?
When you're done: Each customer type sees the price that applies to them, and whoever buys more gets a discount calculated automatically in the cart.
◷ It will take you: 1 to 2 hoursSort out your scheme on paper before touching the panel. The usual is one list per channel (retailer, distributor, chain) and, for everyone, a volume discount. Between 3 and 10 lists is enough.
Load the price per list from the product form, Price lists tab. It's a grid: one column per list and one row per variant. Type the price in each cell. If you leave a list empty, that customer sees the base price.
For many products don't go form by form. Two ways: export the sheet, fill in each list's column and re-import (stage 3), or Configuration → Tools → Bulk price increase: a percentage on one list, with rounding.
The volume discount is built in Catalog → Discounts: a new discount, volume type, with its tiers. For example: 5% from $1,500, 8% from $3,000. On the top tier you can add free shipping. The customer sees a bar in the cart showing how much is left to the next tier. If you don't see Discounts under Catalog, ask support: it's enabled per business.
For a one-off deal on a product use the form's promotional price: it shows with the original price struck through. For a special term for a single customer, use the custom discount (%) in their customer profile (stage 5).
Lists or per-customer discount?
Lists when the price changes product by product. Per-customer discount when it's a flat cut on the list they already have.
Where to set the tiers?
Close to your average ticket. If the first tier is too far away, the bar never fills and nobody looks at it.
How do I set a different price for the Distributor list on every product in a category?
How do I raise all prices by 8%?
Why didn't this customer get the discount?
When you're done: A business can register on its own, you approve it in a minute with the information you need, and every customer ends up with their price list, their sales rep and their terms.
◷ It will take you: 1 hour, plus the time to load your customer baseThis is how registration works: the business fills in your store's form (tax details, mobile and your questions). They're left Pending and you get an email in your orders inbox. In Sales → Customers a yellow button appears: “N customers to approve”.
Tap that button, open the customer's profile and read their Registration answers. Before approving, fill in the Commercial terms: price list, sales rep and custom discount if any. Then tap the green Approve bar. The customer gets the welcome email and can now buy.
There are two text fields in the profile that get mixed up. Agreements (payment, shipping, invoicing) is visible to the customer, in their profile and when confirming each order. Behaviour is internal: only your team and sales reps see it, and it travels with the purchase order.
Your current customer base is loaded by you, without approval. One at a time: Sales → Customers, + Create customer button; type only the tax ID and wait, the system looks up the registry and fills in legal name and address. Many at once: Configuration → Tools → Import customers from file, with a preview before applying.
Three actions on a customer: Approve (pending → active), Block customer (switch in the profile; reversible, keeps history) and Delete customer (only for records without orders: rejected, duplicates, tests). There's no “Reject” button: a pending request is rejected by deleting it.
Register in your own store as a test customer, from an incognito window and with your other email. Approve yourself from the panel. You'll use that customer in the stage 8 dry run; give it a clear name, like “TEST – do not ship”.
Who reviews pending customers?
One person, every day, at the same time. A wholesaler who waits three days for approval buys elsewhere.
The whole customer base at once?
Better 10 or 20 trusted customers first. Their first orders show you what still needs adjusting, then you load the rest.
How do I reject a registration request?
How do I assign the Distributor list to a customer?
A customer registered but didn't get the verification code. What do I do?
When you're done: The checkout shows the same payment and shipping methods you already use, with their details, surcharges and notes. The customer doesn't have to ask you anything to close the order.
◷ It will take you: 45 minutesIn the editor, search “payments” and open Payments and shipping. Everything in this stage is on that screen.
Under Payment, tick the methods you offer (Transfer, Cash, Cheque, To be agreed…). If one is missing, + Add method (“30-day credit”, “Cash on delivery”). Open each row with the arrow: there you choose No charge, Surcharge or Discount, the value, and write the notes.
In each method's notes put everything the customer needs to pay without asking you: bank, holder, account number, alias, clearing time, where to send the receipt. Those notes show in the checkout and travel in the order confirmation email.
To charge online, under Online payments tap Connect Mercado Pago and authorize from your account. No credentials are shared. When it says connected, Mercado Pago appears in the checkout as one more method, with whatever surcharge you set.
Under Shipping, the same: tick or add your carriers. If you charge differently by zone, create one shipping option per zone with a clear name (City, Metro, Inland, Warehouse pickup), each with its surcharge and notes (which areas it covers, dispatch days). The customer picks theirs when buying; the system doesn't detect it on its own.
Delivery times don't go on the shipping option. They're communicated through order statuses (stage 7) or in the shipping notes. If you leave the automatic “Best price” badge on, the cheapest method is flagged on its own in the checkout.
Discount for bank transfer?
It's the most common: a small discount on bank transfer and the gateway's real surcharge on Mercado Pago. The customer chooses knowing how much they pay with each.
How many shipping zones?
As many as a customer recognizes without thinking. If they hesitate over which to pick, there are too many zones or too few notes.
How do I give 5% off for bank transfer?
How do I charge differently by shipping zone?
How do I communicate the delivery time for each zone?
When you're done: The store looks like your brand, states your terms in your own words and notifies the customer at every step (welcome, order received, on its way) without you writing an email by hand.
◷ It will take you: 2 to 3 hoursOpen EDIT STORE. Go to Style → Ready-made designs and pick one: the whole store changes at once (colors, fonts, button shapes). Then, under Palette and typography, adjust only what doesn't match your brand. It's faster than building from scratch.
Under Content → Brand upload the logo and fill in name, slogan, social links and the footer links. Under Menu choose which categories and links appear in the navigation.
The home page is built under the Screens tab (or in the editor, search “home”): the top photo or video, product carousels, promotions, FAQs. Start with few blocks.
Under Content → Pages write How to buy (how to register, how long approval takes, minimum order, payment methods, shipping and lead times) and About us. Use headings and short lists: people scan, they don't read.
Under Content, review Legal (your country's mandatory seals and buttons, policies), Contact (the form) and Support: enable the WhatsApp button with your sales number and the shopping assistant for your customers.
Under Content → Emails are the automatic emails: welcome, pending registration, order received, order edited, order cancelled. The layout is fixed; you write the subject and the text. Spend more time on Order received: it's the most read. Put packing times, how to pay and what happens if stock is short.
Go back to the panel for the tracking statuses: Configuration → Tracking. 7 come by default. Keep the ones you really use (Received, Preparing, Shipped, Delivered), give them a color and, on the ones you want to notify, enable Notify customer with subject and text. The Important information field is filled in order by order (amount due, tracking number).
Every change in the editor is published with Save, instantly. If you still don't want anyone to see the store, turn on Under construction (in the editor, search “construction”) at the end of each working day: visitors see “Coming soon”. Turn it off to do each stage's tests and, for good, the day you open.
How much design before opening?
One ready-made design, your logo, your palette and a cover photo. The rest you improve with the store open.
Which statuses notify by email?
The ones that change something for the customer: “Ready, payment due” (with the amount), “Shipped” (with tracking) and “Delivered”. Internal ones, like “Packing”, don't need an email.
Where do I change the announcement text at the top of the store?
How do I add an FAQ block on the home page?
How do I make the Shipped status send the tracking number to the customer?
When you're done: You ran the whole loop as if you were your own customer, from your phone, and saw every screen and every email they'll get. Whatever is missing, you find it, not a customer.
◷ It will take you: 1 hour, phone in handFrom your phone, in incognito, enter the store as the test customer. Search a product by code, add two variants with real quantities and a second product. Look at the cart: does the minimum order show? does the volume-discount bar move?
Go on to checkout. Pick a shipping zone and read its notes as if you knew nothing. Pick Transfer and confirm the discount applied to the total. Fill in the billing details and confirm the order. Read the order-confirmed screen.
Check both emails: Order received in the test customer's inbox (does it include the payment details?) and the new-order notice in your orders inbox (did it arrive?).
Now the panel side: Sales → Orders, open the order. Download the packing order (the PDF for the warehouse). Change the status to one that notifies the customer, fill in the important information and save. Confirm the email arrived.
Edit the order (change a quantity, remove a product): the total recalculates and the order-edited email goes out. Then cancel it: the order-cancelled email goes out. In one hour you've seen every automatic email.
If you connected Mercado Pago: place a second order with the cheapest product and pay for real. In Orders it must show Paid. Then use Refund from the order. Never cancel an online charge without refunding: the customer keeps the charge.
Finally, the reverse path: Sales → Create order. Pick the test customer, load products and quantities as if they'd sent them on WhatsApp, and confirm. This is what your sales reps will do daily.
What do I do with what I found?
Write down everything that made you hesitate (an unclear note, an unexpected surcharge, an email that doesn't say how to pay) and go back to the matching stage. Repeat the dry run until you write nothing down.
How do I edit an already confirmed order?
Where do I download the packing order?
The customer overpaid via Mercado Pago. How do I return the difference?
When you're done: You know what to look at every morning, what to do when an order or a new customer comes in, and how to load an order sent on WhatsApp. If you joined a team that already sells, this is your stage.
◷ It will take you: 15 minutes a day, once you get the hang of itAn order comes in. You get an email and it appears in Sales → Orders. Open it: at the top are the customer, their agreements and what your team wrote in Behaviour; below, the products. Download the packing order for the warehouse.
As it moves along, change the tracking status from the order. If the status notifies the customer, fill in the important information (amount, tracking) before saving. In the list, the status color tells you at a glance where each order is; filter by status to see the ones still to ship.
A product is missing or the quantity changed. Edit the order from its detail: the total recalculates and the customer gets the order-edited email. If the order is off, cancel it from right there. If they paid via Mercado Pago, Refund first, then cancel.
A customer sends you the order on WhatsApp or by phone. Sales → Create order: pick the customer, load products and quantities. Their price list, discounts and stock control apply, just as if they'd done it themselves. On confirming, they get the order-received email.
A new customer registered. In Sales → Customers, yellow “N customers to approve” button. Open the profile, read their answers, assign a price list and a sales rep, and tap Approve. If it's not a business, Delete customer. Do it every day: whoever waits, leaves.
A price changed or goods arrived. For one or two products, the form (Catalog → Products). For many, Configuration → Tools: export the sheet, edit and re-import, or Bulk price increase by percentage. If a product sold out, turn off Visible or leave stock at 0.
A customer can't log in. From their profile you can set a new password or generate an emergency access link and send it on WhatsApp. If they show as Unverified, validate them with one click from the profile.
How do I see only the orders still to ship?
How do I load an order a customer sent me on WhatsApp?
A customer says they can't log in to the store. What do I do?
None of this is needed to sell. These are the pieces worth adding once the store is running.
Auto-seller (Marketing): automatic emails to whoever abandoned a cart, hasn't bought in a while or never finished their first order, with an optional coupon.
Discounts and coupons (Catalog → Discounts): 2-for-1, bundles, gifts, campaign free shipping, discounts only for one price list or only on certain days.
Pro Mode: a fast-order screen for repeat customers, with the whole catalog in one list. Pre-orders: sell before you have the stock.
Your management system (ERP) connected (Configuration → ERP): products, prices, stock and orders in sync. Quoted separately depending on the system.
Marketing in the editor: Google, Meta and TikTok pixels, Google Shopping, Analytics. Marketing Kit: photos, price list and downloadable catalog so your customers can resell.
Automatic reports by email from Metrics, PDF catalog builder for the customer who asks “send me the catalog”, points of sale on the store map.
With the eight stages ticked, only this is left.
Write once you've tried the assistant and the stage's article, and something still doesn't work. A complete message gets solved in one reply.
Hi, I'm [name] from [business]. I'm on stage [N] of the getting started guide. Screen: [panel or editor → name] I wanted: [what I expected] What happened: [what happened] Already tried: assistant + article [name] + incognito. Data: [customer email / order no. / code] (screenshot attached)
