Wholesale orders on WhatsApp: the complete WhatsApp Business guide to automated messages

In Latin America, 93% of smartphones have WhatsApp installed. For wholesalers in the region, this means something very concrete: your customers are already on WhatsApp, and they are probably already messaging you there to place orders, check prices, or complain about a shipment. The question is whether you are leveraging this reality strategically or if WhatsApp is simply a chaotic channel where messages and orders get lost.

In this guide, we show you how to set up WhatsApp Business for your wholesale business, what types of automated messages you can use, and how to connect WhatsApp with your B2B platform to convert conversations into real sales.

The portal takes the order. WhatsApp notifies, reminds and follows up.

Why WhatsApp is essential for wholesale sales in LATAM

Unlike other markets where email dominates B2B communication, in Latin America WhatsApp is the preferred channel for both buyers and sellers. The reasons are clear:

• Immediacy: a wholesale buyer who needs to urgently restock will not send an email and wait 24 hours. They will message on WhatsApp and expect a response in minutes.
• Efficient informality: the wholesaler-buyer relationship in the region is close. WhatsApp maintains that closeness without losing professionalism.
• Multimedia: the buyer can send a photo of the product they need, the seller can share a PDF catalog or a direct link to the ordering portal.
• Ubiquity: from the owner of a convenience store in Buenos Aires to the purchasing manager of a chain in Bogota, everyone uses WhatsApp.

Types of automated messages for wholesalers

WhatsApp Business allows you to configure several types of automated messages. Let us look at which ones are most useful for a wholesale business and how to write them:

Welcome message

Sent automatically when a customer messages you for the first time or after 14 days of inactivity. It is your first digital impression.

Example: "Hello, welcome to [Your Company]. We are wholesale distributors of [category]. You can place your order directly from our portal: [link]. Or if you prefer, tell us what you need and we will put together a quote. Business hours: Mon-Fri 8:00 AM to 6:00 PM."

Away message

Essential for wholesalers who receive orders outside business hours. Instead of leaving the customer without a response, redirect them to your self-service portal.

Example: "Thank you for your message. We are currently outside business hours, but you can place your order 24/7 from our wholesale portal: [link]. Your order is processed automatically and we will confirm as soon as we open. We respond to messages Mon-Fri 8:00 AM to 6:00 PM."

Quick replies

These are predefined text shortcuts that your team can send with a quick command. Here are the most useful ones for wholesalers:

• /order: "To place an order, go to our portal: [link]. There you will find updated prices, real-time stock, and you can pay online. If you need help, we are here."
• /minimum: "Our minimum order is [amount]. For orders over [amount], volume discounts apply which you can see in your portal."
• /shipping: "Shipments are made on [days]. Shipping cost depends on your zone and volume. Orders over [amount] have free shipping."
• /catalog: "You can see our complete catalog with updated prices at: [link]. If you need a price list in PDF, let me know and I will send it."
• /status: "To check your order status, log into your account at [link] and go to the 'My Orders' section. If you have any questions, give me your order number."

Step-by-step WhatsApp Business setup

If you have not yet set up WhatsApp Business for your wholesale business, here are the essential steps:

1. Download WhatsApp Business (free on App Store and Google Play) and register with your business number. Use a number dedicated to the sales area, not the owner's personal number.
2. Complete your business profile: company name, address, business hours, email, website (link to your wholesale portal), business category, and short description that includes what type of wholesaler you are.
3. Set up your catalog: add your main products with photo, description, and price. This allows customers to browse your products directly in WhatsApp.
4. Activate automated messages: configure the welcome and away messages as described above. Go to Business tools > Greeting message / Away message.
5. Create quick replies: add at least the 5 shortcuts we listed above. Go to Business tools > Quick replies.
6. Organize with labels: create labels like "New customer," "Pending order," "Payment pending," "Frequent customer." This allows you to filter and prioritize conversations.

WhatsApp Business limitations and the API solution

The free WhatsApp Business is a good starting point, but it has significant limitations for growing wholesalers:

The solution is WhatsApp Business API, which allows you to connect WhatsApp directly with your B2B eCommerce platform. With the API you can have multiple agents serving from the same number, send proactive notifications (order confirmation, shipping tracking, reorder reminders), and measure the entire process.

WhatsApp + B2B portal: the winning combination

The most effective strategy is not choosing between WhatsApp and a B2B sales portal, but combining them. Here is how it works with VentasxMayor:

1. Acquisition through WhatsApp: a new buyer contacts you via WhatsApp. The automated welcome message introduces your company and shares the link to your portal.
2. Portal registration: the buyer registers as a wholesale customer with their tax ID, fiscal data, and commercial terms.
3. The order is built in the portal: the buyer browses the complete catalog, sees their negotiated prices and places the order. If they write on WhatsApp asking for something specific, the rep sends the direct link to the product or to a pre-built cart; the order lives in the system, not in the chat.
4. WhatsApp notifications: once the order is confirmed, the buyer automatically receives via WhatsApp the confirmation, the tracking number when it ships, and a reorder reminder when the usual restocking date approaches.
5. Reactivation of inactive customers: if a regular buyer has not placed an order in 30 days, they automatically receive a personalized message: "Hi [name], we noticed it has been a month since your last order. Would you like us to put one together with your usual products?"

WhatsApp does not replace your wholesale portal, nor does your portal replace WhatsApp. Together, they form the most powerful B2B sales channel you can have in Latin America. The key is using them in an integrated way, where each one fulfills the role it is best at: WhatsApp for quick and personal communication, the portal for the complete purchasing operation and business management.

Checklist to set up WhatsApp at your wholesale business

• A business number dedicated to sales, separate from the owner's personal one.
• Complete business profile with business hours and the link to the wholesale portal.
• Welcome message that introduces the company and shares the portal link.
• Away message that redirects to the portal to order 24/7.
• The 5 quick replies loaded: /order, /minimum, /shipping, /catalog, /status.
• Labels created: new customer, pending order, payment pending, frequent customer.
• Rule agreed with the team: if a customer asks for something over chat, reply with the link to the product or cart; the order lives in the portal.
• If more than one rep shares the number or you need metrics, evaluate WhatsApp Business API.

Frequently asked questions

What is the difference between WhatsApp Business and WhatsApp Business API?+

WhatsApp Business is the free app: it works on a single main device, offers welcome and away messages, quick replies, a catalog and labels, but doesn't integrate with your system or provide metrics. The API lets several agents work from the same number, sends automated notifications (confirmation, tracking, reorder reminder) and measures the whole process connected to your B2B platform.

Should wholesale orders be taken over WhatsApp?+

Not as the main channel. An order that arrives over chat has to be transcribed by hand into the ERP or portal, which creates errors and delays. What works is using WhatsApp to acquire, notify and remind, while the order is built in the portal, where the buyer sees their negotiated prices, stock and minimums. If a customer asks for something specific over chat, the rep sends the link to the product or a pre-built cart.

Which automated messages should a wholesaler set up first?+

Three: the welcome message (sent the first time someone writes or after 14 days without contact) introducing the company and the portal link; the away message, which outside business hours redirects to the portal to order 24/7; and the quick replies /order, /minimum, /shipping, /catalog and /status, which the team fires with a command.
