From the customer's question to an accepted quote in three steps
- Enter who offers and to whom. Your business details stay saved in the browser: next time only the customer changes. If you already used the packing slip or the purchase order generator, your business comes pre-filled.
- Paste the items with quantity and price, and write the validity. The price has to be that customer's list price, with their discount. A short validity protects the margin: if costs rise, an expired quote does not force you to sell at the old price.
- Send the PDF and keep the acceptance. The customer gets, by WhatsApp or email, exactly what they will pay and until when it is valid. Their "ok" or signature turns the quote into an order; from there come the sales order, the packing slip and the invoice.

What does a quote include?
Who issues it and for whom, number and date, the line items with quantity, unit price and amount, the total, whether prices include tax, how long the offer is valid, the delivery lead time and the payment terms. If the customer accepts it, they sign it and it becomes an order.
What is the difference between a quote, an estimate and a pro forma invoice?
A quote and an estimate are the same thing: an offer of price and terms, valid for a limited time, that the customer may accept or not. A pro forma invoice looks like an invoice but is not a tax document either: it is used mostly in foreign trade so the buyer can arrange payments or permits. None of the three replaces the invoice.
How long is a quote valid?
Whoever issues it decides, and it is worth always writing it down. In wholesale a short validity (days, not months) is the norm because costs change; if the customer accepts after it expires, you quote again.
