This integration offers you the following key advantages to optimize the management of your online business:

  • Automatic Price Synchronization: Keep your prices updated in your online store automatically, reflecting the changes made in Contabilium.
  • Automatic Stock Update: The inventory levels managed in Contabilium are automatically updated on your website, preventing the sale of products out of stock.

Understanding How Integration Works:

Orders:

  • When a customer places an order on your website, it is automatically and immediately transmitted to Contabilium. (Sales->Integrations -> eCommerce and then click on SEARCH)
  • If you make any edits to an order directly on your website, the changes will be sent to Contabilium automatically once you save the changes, as long as the order has not yet been processed in Contabilium (that is, its status has not been changed).

Stock:

  • The centralized stock management of all your products is carried out exclusively in Contabilium.
  • Any change in stock levels you make in Contabilium will be automatically updated in the product information displayed on your website.

Prices:

  • The management of the prices of your products is carried out only in Contabilium.
  • The prices defined in Contabilium will automatically be synchronized with the prices shown on your website. Avoid modifying prices directly on the web after the integration.

Discounts:

  • If a customer applies a discount when making a purchase on your website, this discount will be reflected in the order that arrives at Contabilium.
  • You have the option to configure how discounts are sent to Contabilium:
  • Item Discount: The system will send the details of the discount applied to each product individually in the order. (This is the most common method.)
  • General Discount: The system will send a single “discount” item with the total amount discounted in pesos, which will be applied to the total order.

Important: Key Considerations:

  1. Initial Data Synchronization:
    To ensure a successful integration, it is essential that when creating your products on your website you use exactly the same SKU (identification code), Price and Stock that you already have registered with Contabilium. The coincidence of these data is essential for the proper functioning of the integration from the start.
  2. Daily synchronization:
    Although Contabilium must automatically send changes when modifying a price or stock to VentasXMayor, for security reasons, a massive synchronization of prices and stocks is carried out daily, to reduce possible errors.
  3. Synchronization when creating or editing products:
    If you create a product, or edit any field of an active product, when you save, price and stock are automatically requested from Contabilium.
  4. Unified Management in Contabilium:
    Once the integration between your store and Contabilium is active, the only way to modify the Prices and Stock of your products will be through Contabilium. Any changes made there will be automatically updated in your online store. Don't edit prices or stock directly on the web.
  5. Order Status and Amendments:
    Pay special attention: Once an order from your online store is received in Contabilium and its STATUS is modified (for example, the customer data is invoiced, the customer data is edited, the quote is changed or the invoice is edited), the system will no longer allow you to make any further modifications to that order from your online store.
  • Make sure: Before changing the status of an order in Contabilium, verify that you don't need to make any additional changes to the order information.
  • Consequence: If you have already changed the order status in Contabilium and later you need to change something, you must make those changes independently both in Contabilium and in your online store. The integration will not synchronize modifications to orders whose status has already been altered in Contabilium.

Once configured, the information for all your products and prices on your website will be automatically updated, based on Contabilium data, allowing a joint and efficient operation of both systems.


Technical Details of the Connections (Configuration Options):

When you activate the integration, you'll need to define the following connections:

  • DEPOSIT: Enter the exact name of the deposit you have created in Contabilium. The system will take stock information from this warehouse to update the levels in your VentasXMayor online store.
  • PRICE LIST: Specify the exact name of the price list that you use in Contabilium and that you want to associate with the prices of your products in your online store VentasXMayor .
  • SYNCHRONIZE PRICES: Choose “Yes” if you want the prices of your products to be automatically synchronized between Contabilium and your VentasXMayor online store. If you choose “No”, the prices are managed separately in each system.
  • SYNCHRONIZE THE STOCK: Choose “Yes” if you want the stock levels of your products to be automatically synchronized between Contabilium and your VentasXMayor online store. If you choose “No”, the stock will be managed separately in each system.
  • PRICES INCLUDING VAT: Define how order prices will be sent from your VentasXMayor online store to Contabilium:
  • Yes: Prices will be sent including Value Added Tax (VAT).
  • No: Prices will be shipped excluding VAT.
  • FINAL PRICE: Tell your VentasXMayor online store if it should update product prices using the Contabilium “Final Price” (which includes VAT) or the “Base Price” (which does not include VAT).
  • SEND DISCOUNT: Select how you want the discounts applied to orders from your VentasXMayor online store to be sent to Contabilium :
  • Item Discount: (Recommended) The discount is detailed for each product individually in the order sent to Contabilium.
  • General Discount: A single “discount” item is sent with the total amount discounted in pesos, which will be applied to the total order in Contabilium.
