ERP Management System Integration Options


For customers who currently use an ERP not yet integrated with VentasXMayor, we offer different options adapted to each need, budget and technical complexity:

1. Implement an Integrated ERP:

Description: Change your current ERP to one already integrated with VentasXMayor.

  • Advantages: Immediate and complete integration with ready-to-use functionalities (products, stock, prices, orders).
  • Cost: No additional cost per integration, only the monthly value of the chosen ERP is added.
  • Implementation Time: Immediate, subject only to the time required to migrate to the new ERP.

2. Product Importer and Exporter of Custom Orders:

Custom Product Importer:

Description: Development of a customized program that allows you to manually import data such as code, price, stock, price lists, etc. You can choose specific functionalities (create, delete or exclude products and fields).

  • Advantages: Reduced cost and time; quick and easy solution.
  • Cost: Moderate to low, varies depending on the complexity of the requested importer.
  • Implementation Time: Short term (usually between 7 and 15 business days).

Custom Order Exporter:

Description: Custom development of a program that generates a file compatible with your ERP, allowing you to automatically import orders placed in VentasXMayor without having to enter them manually.

  • Advantages: Partial automation, reduced operational work on order loading.
  • Cost: Moderate to low, quoted depending on the complexity of the required output file.
  • Implementation Time: Short term (usually between 7 and 15 business days).

3. Integration to your ERP via API (automatic synchronization)

Description: Deep integration between VentasXMayor and your ERP through the use of APIs. This allows the automatic synchronization of products, prices, orders, stock and customers between both systems.

Prerequisites:

  • It is essential that your ERP vendor provides the technical documentation for your API (available endpoints, authentication, usage limits, etc.).
  • The customer must define what data and processes they want to synchronize, in order to make an exact quote adapted to their needs.

Common scope of an API integration:

  • Sending orders to the ERP:
  • Automatic transmission of each order placed at VentasXMayor.
  • The list of products, quantities, discounts applied and commercial conditions is sent.
  • The order is assigned to the corresponding customer in the ERP. If the customer does not exist in the ERP, a registration is automatically generated with their basic data.
  • Price update: This can be done in two ways:
  • Pull: VentasXMayor periodically (e.g. every hour) checks the prices in the ERP and updates the store.
  • Webhook: the ERP sends price updates in real time whenever there are changes (if the ERP supports this technology).
  • Stock update: Also configurable in two ways:
  • Pull: periodic updating of the stock based on information from the ERP.
  • Webhook: immediate synchronization when the stock changes in the ERP.
  • Customers: Possibility to synchronize customer registrations and updates between VentasXMayor and the ERP, to maintain a single master record.

Other requirements: If your business requires other types of integrations, they can be defined once the documentation has been evaluated.

Advantages:

  • Full automation of the workflow, minimizing the operational burden.
  • Information that is always updated in real time or at defined intervals.
  • Reduction of manual errors and greater management control.

Cost: Higher, subject to a specific quote depending on technical requirements, number of endpoints to integrate and complexity of the ERP.

Implementation time: Usually 4 to 8 weeks, depending on the quality of the API documentation and the degree of collaboration of the ERP vendor.
