Free Excel spreadsheets for wholesalers and distributors
Five spreadsheets with formulas and sample rows: sales tracking, sales order template, sales commissions, inventory control with reorder point and ABC customer analysis. Direct download, no sign-up, and they open in Excel, Google Sheets or LibreOffice.
Sales tracking spreadsheet
A "Sales" sheet with one row per order line (date, number, customer, rep, product, quantity, price, status and payment method) and a "Summary" sheet that calculates total sold, total collected and outstanding, average order, and sales by customer, by rep and by month. Use it to know, before the financial statements, whether the month closed above or below the break-even point.
Sales order template
Seller and customer details, number and date, up to twenty lines with SKU, description, quantity and price, and the calculated subtotal, discount, freight and total. Fitted to one page to print or save as PDF. It is the same document the purchase order generator builds in the browser; the difference between sales order, purchase order, packing slip and invoice is covered in what is a packing slip.
Sales commission spreadsheet
Enter the orders with their rep, amount and whether they were collected; on the "Commissions" sheet type the period and each rep's percentage, and the sheet settles the commission on sales and on collections. Both bases are there because both are used: paying on collections protects the company, paying on sales motivates the rep more. What matters is that the rule is written down.
Inventory control spreadsheet with reorder point
A "Products" sheet with opening stock, average monthly sales and supplier lead time, and a "Movements" sheet to log every receipt and issue. The spreadsheet calculates current stock, safety stock, reorder point, days of cover and flags REORDER with a suggested quantity. The formula and an online version are in the safety stock calculator; how to read turnover, in inventory turnover.
ABC customer analysis spreadsheet
One row per customer with the last twelve months of sales, the assigned rep and the date of the last order. Sorted from largest to smallest, the sheet calculates each customer's share, the cumulative share and the A, B or C class, plus days since the last order. What to do with each class, and why C accounts are not served like A accounts, is in ABC customer analysis.
Frequently asked questions
Are the spreadsheets free and do they require sign-up?
They are free and download directly, no email required. They open in Excel, Google Sheets and LibreOffice.
How do the formulas work?
Each spreadsheet has an instructions sheet. Yellow cells are for input; grey cells are calculated. No formula needs touching.
How far does a spreadsheet get you?
As long as one person enters the data. With several reps, hundreds of customers at different prices and orders coming in over WhatsApp, the spreadsheet falls behind and errors start: that is when a wholesale store where orders come in on their own, at each customer's price, and reports come out of the system pays off.
