Register new wholesale customers with all their commercial, tax, and contact information, or edit existing customer data. Each customer profile defines the personalized commercial conditions for that buyer.
How it works
When creating a wholesale customer, you fill in their contact details (name, email, phone, cell, website) and tax information (business name, CUIT/DNI, VAT status). Tax information is fundamental in wholesale operations as it determines the invoice type to be issued and is required for AFIP validation. You can add multiple addresses for both delivery and billing or tax purposes.
Each wholesale customer can have personalized purchase settings that define their commercial relationship with your business. This includes the assigned price list (enabling differentiated pricing by buyer type), special discounts, volume discount tiers, default shipping and payment methods, and business classification.
The business classification (convenience stores, pharmacies, supermarkets, hardware stores, restaurants, etc.) lets you group wholesale customers by business type, facilitating sales analysis by segment and the application of differentiated commercial policies.
Form fields
Tax information
- VAT Status (select): Customer's VAT classification. Options: Responsable Inscripto (Registered Taxpayer), Monotributo (Simplified Tax Regime), Sujeto Exento (Tax Exempt), Consumidor Final (End Consumer). Determines the type of tax receipt to issue.
- CUIT/DNI (text): Customer's fiscal ID. In Argentina it is automatically validated against AFIP, and if valid, auto-populates the business name and fiscal address.
- Business Name (Razon Social) (text): Legal business name of the company. Auto-populated from AFIP when a valid CUIT is entered. Only shown if VAT status is not Consumidor Final.
- Fiscal Address (address): Fiscal/billing address. Auto-populated from AFIP upon CUIT validation.
Contact information
- Trade Name (Nombre Fantasia) (text): Commercial or brand name the customer operates under.
- First Name and Last Name (two text fields): First and last name of the primary contact person.
- Phone + Extension (phone + extension): Landline number with country code selector and optional extension field.
- Cell Phone (phone): Mobile phone number, separate from the landline.
- Email (email): Contact email address. Includes emergency access link generation for the wholesale portal.
- Website (text): Customer's website URL. Auto-formatted on blur.
Delivery
- Delivery Addresses (dynamic list): Allows adding multiple delivery addresses (branches, warehouses). Addresses can be added and removed as needed.
Sales configuration
- Sales Rep (select): Assign a sales representative from your team to this customer.
- Price List (select): Assign a price list to the customer (general list or custom wholesale price lists).
- Business Category (select): Customer's business type or industry (convenience store, pharmacy, supermarket, etc.).
- Discount (percent): Fixed discount percentage automatically applied to this buyer.
- Minimum wholesale purchase (price): Override the global minimum purchase amount for this specific buyer, different from the portal-wide default.
- Minimum wholesale quantity (integer): Override the global minimum unit quantity for this specific buyer, different from the portal-wide default.
Payment and shipping
- Payment Method (select): Default payment method assigned to this buyer.
- Warehouse Pickup (checkbox): Whether the buyer picks up merchandise directly at the warehouse.
- Shipping Method (select): Default shipping method. Only shown if warehouse pickup is turned off.
Notes
- Public Information (textarea): Payment, shipping, or billing information visible to the buyer on the portal. Use it to declare credit terms, special payment windows, spending limits, or any condition the buyer needs to see before closing the order at checkout. The system does not automatically calculate remaining balance or block orders that exceed the limit β validation stays on your side.
- Customer Behavior (textarea): Internal notes about the buyer, visible only to portal administrators.
Access control
- Block Customer (checkbox): Block the buyer from accessing the wholesale portal.
Registration questions
- Custom Questions (dynamic): Questions configured by the business that are displayed on the registration form. Can be free text, single-choice, or multiple-choice.
Available options
- Contact details: Name, business name, email, phone, cell, website.
- Tax information: CUIT/DNI, VAT status (Monotributo, Responsable Inscripto, Exento, Consumidor Final). Most wholesale customers are Registered Taxpayers (Responsable Inscripto).
- Addresses: Add multiple delivery addresses (branches, warehouses) and billing addresses.
- Purchase settings: Default shipping and payment method, warehouse pickup preference.
- Differentiated pricing: Fixed percentage discount, assigned price list, discount tier. Each wholesale customer can have different prices based on their purchase volume or commercial agreement.
- Classification: Customer business category (business type), approval status, assigned sales rep.
- Notes: Public notes (visible to the wholesale customer) and private notes (admin only). Use private notes to record commercial agreements, special payment terms, or negotiation details.
- Point of sale: Flag whether the wholesale customer operates from a physical point of sale.
Tips
- Complete tax information from the start to avoid delays when invoicing. Wholesale customers need valid tax receipts for their accounting.
- Assigning a price list lets you manage differentiated pricing by wholesale customer type without changing the general catalog. You can have different lists for distributors, resellers, and retail shops.
- Private notes are ideal for recording commercial agreements, agreed payment terms, or references from negotiations with the assigned sales rep.
- Classify your wholesale customers by business category from the moment of creation to take advantage of segmentation filters and reports by business type.
