Link each wholesale customer to a sales rep on your commercial team to organize portfolio management, control customer visibility, and supervise your sales force performance.
How it works
Each wholesale customer can have an assigned sales rep. The assigned sales rep only sees the customers in their portfolio, which allows you to segment the commercial operation and protect information between sales team members. A sales rep cannot see the customers assigned to another sales rep.
Sales reps are a key component of the VentasxMayor wholesale model. They represent the field reps, commercial representatives, or account executives who manage relationships with wholesale customers, place orders on behalf of their clients, track purchases, and work to increase the sales volume of their portfolio.
From the customer listing, you can filter by sales rep to quickly view each person's portfolio. The assignment is made from the customer's profile page. When a sales rep creates a manual order for a customer in their portfolio, the order is automatically linked to that sales rep.
Available options
- Assign sales rep: Link a sales rep to a wholesale customer from their edit page. A customer can only have one assigned sales rep at a time.
- Filter by sales rep: In the customer listing, show only the customers assigned to a specific sales rep. Useful for supervising each representative's portfolio.
- Restricted visibility: Sales reps can only access the customers in their own portfolio, both in the customer listing and in the orders listing. This protects commercial information and prevents conflicts between sales reps.
What a sales rep can see and do
When a sales rep logs in to the admin with their user, they access a reduced version of the panel:
- Their customers: only sees the customers assigned to their portfolio and the ones they create themselves.
- Create customers: can add new customers. They are automatically assigned to their portfolio.
- Edit data: updates customer data and commercial conditions (price list, discounts, payment/shipping method).
- Orders: sees orders from customers in their portfolio and manual orders they place themselves. Receives an email when a new order comes in from one of their customers.
- Create orders: can build manual orders for their customers (visits, phone calls, WhatsApp).
- Reports: generates sales reports limited to their orders.
- Cannot see: customers or orders belonging to the manager or other sales reps. Cannot create or edit products, or change business settings.
Setting up a sales rep
To create a sales rep access:
- Go to Managers/Administrators and create the user with email and password.
- Enable the SELLER permission. This grants access only to their portfolio of customers and orders.
- Assign customers from each customer profile, or let the sales rep create their own.
- Share the access so they can log in to the store with their user and start managing.
Tips
- Assign sales reps from the moment a wholesale customer is approved to keep the portfolio organized from the start and so the sales rep can begin the commercial relationship immediately.
- Use the sales rep filter to review performance and wholesale customer distribution across your sales team. Identify sales reps with unbalanced portfolios.
- If a sales rep leaves the team, reassign their wholesale customers to another sales rep so they are not left without commercial attention. Customers without an assigned sales rep can go unnoticed.
- Sales reps can create manual orders on behalf of their wholesale customers, which is especially useful during field visits or phone calls.
- Periodically verify that all active wholesale customers have an assigned sales rep to ensure full portfolio coverage.
- Assign only the SELLER permission to commercial profiles: adding other permissions removes the portfolio-only restriction and gives them full visibility.
