Import products

VentasxMayor has exactly one bulk-loading circuit: you export your catalog to a Google Sheets spreadsheet, edit it, and import it back from the same screen.

Read this before you import. Spreadsheet import deletes from your catalog every product whose code is not in the file. This is not an incremental load: you must always upload the complete catalog, not only the new rows. The deletion cannot be undone from your dashboard.

Step by step

1. In the side menu, go to Configuration → Tools.
2. Find the Product Management in Google Drive card. Export products is at the top and Import product spreadsheet below it.
3. Tap Download spreadsheet. Despite the name, that button exports your complete catalog, with every product you already have loaded.
4. Open the Task Center from the icon in the top bar and wait until the Export Products task shows as completed. Tap the download button: a Google Sheets spreadsheet opens with your catalog.
5. Edit the spreadsheet. Add new rows at the end, correct whatever you need, and do not delete the rows of products you want to keep.
6. Copy the spreadsheet URL from the browser bar and paste it into the Import product spreadsheet field.
7. Tap Start import. The Import preview opens.
8. Check the New Products, Updated Products and Deleted Products counters. If the deleted number is not what you expected, cancel and review the spreadsheet.
9. Tap Apply Changes. The import continues in the background and you can carry on working.

What happens to products missing from the file

Products in your catalog whose CODE does not appear in the spreadsheet are deleted, along with their variants, their per-list prices and their images. That is the default behavior and there is no switch to turn it off.

So:

• To add new products, always start from the exported spreadsheet and append rows at the bottom. Never import a spreadsheet that contains only the new items.
• Before applying, look at the Deleted Products counter in the preview. That number is exactly how many products you are about to lose.
• Save the exported spreadsheet before you touch it. It is your only backup.
• If you already deleted products by mistake, you can roll it back yourself: in Configuration → Tools, next to Download spreadsheet, there is Export historic. Pick the date and time before the deletion, export that spreadsheet and import it back: the catalog returns to that state. You need Tools or administrator permission. Save a copy of the current catalog first, because that import also overwrites anything you loaded afterwards.

How the spreadsheet is built

The sheet has to be named Productos and the columns are, in order:

CODE · NAME · OPTION · PACKAGE · DESCRIPTION · DETAIL · VISIBLE · NEW · STOCK, then a CATEGORY1, CATEGORY2… column for each category level you use, then PRICE, and finally a LIST column followed by the code of each price list you have created.

If a product uses two variant axes, for example color and size separately, an OPTION2 column is added right after OPTION.

A product with variants takes several consecutive rows: first the product row, with the OPTION column empty, and immediately below it one row per variant with its name in OPTION. Row order matters: variants must sit right under their product. The CODE on each variant row is that variant's code.

Details to keep in mind:

• VISIBLE and NEW accept YES or NO.
• STOCK accepts a number, or YES for unlimited stock and NO for no stock.
• PRICE and the LIST columns carry that row's final price, not a percentage or a markup.
• The PROMOTION column from old spreadsheets is no longer used. If you send it, the importer ignores it and tells you how many rows it discarded. Enter the offer price directly in PRICE.
• There is no minimum column, no weight column and no measurements column. The per-variant Min is entered by hand on the product form.
• A row with no price and no variants is discarded.
• Do not use formulas in the spreadsheet. Cell colors and frozen rows cause no trouble.

The STOCK column overwrites current stock. If you export today, sell during the week, and import the same file on Friday to change prices, stock reverts to the spreadsheet values. To avoid that, export again right before importing, or fix the STOCK column with the real values.

The most common Google Sheets errors

• "The Sheet does not have a tab named Productos": the sheet was renamed. Export from VentasxMayor first and edit that spreadsheet, keeping the original format.
• "The Sheet is not accessible": open it in Google Sheets, tap Share, switch to Anyone with the link and set it to Editor.
• "Sheet not found": the link is incomplete or belongs to another account. Copy the whole URL from the browser bar.
• "The document must not be an Office file": you uploaded an .xlsx to your Drive and pasted that link. An Excel file stored in Drive is not a Google spreadsheet. Open it and use File → Save as Google Sheets, then paste the link to the new copy.
• The export fails if any DETAIL exceeds 50,000 characters. The error message names the product: shorten it and export again.

The preview

Before anything is applied, the Import preview screen shows row by row what changes: the new products, the modified ones field by field, and the ones about to be deleted. You can filter by change type and search by code or name.

Imports run in the background and their status stays in the Task Center, with the progress bar and the error message if something fails.

Photos

Photos do not travel in the spreadsheet and do not come out in the export. They are uploaded separately, by ZIP, from the Batch import images and videos card on the same Tools screen, with one folder per product code.

Migrating from another platform

Migration from TiendaNube, WooCommerce, Prestashop, MercadoLibre and other platforms exists, but it is not self-service: the VentasxMayor team runs it. Write to us with your current store address and we will prepare it.

The same goes for the Import products from ERP card: it accepts the file your management system exports, but each ERP's format is configured to order for your business. If your business does not have that importer built yet, uploading the file shows the message "Importador a medida no disponible". The card itself spells it out: "Need the import file? Contact us to set it up."

There is no generic import where you upload just any product CSV or Excel. The path with a preview is always the Google spreadsheet.

If you cannot find it

• You cannot find an export button in the product listing: it is not there. Data export lives in Configuration → Tools, and the designed catalog export in Catalog → Catalog builder, Export tab.
• You cannot see the Export historic button: it needs Tools or administrator permission.
• You cannot see Configuration → Tools in the menu: your user does not have the Tools permission.
• You applied the import and the listing looks unchanged: tap the refresh button in the listing toolbar to reload the table.
• The error says "The option is duplicated": two variant rows of the same product share the same OPTION and OPTION2 combination. The message names the code and the repeated combination.
